Position Summary:
Reporting to the Donor & Gift Database Manager of the Hamilton Health Sciences Foundation, the Recognition & Stewardship Officer is an exciting opportunity for an experienced professional to contribute significantly to the effective and efficient operations of the Foundation. This role will be responsible for the administration of all current and future granting of awards and bursary programs in addition to Foundation donor recognition and stewardship reporting.
Specific responsibilities include, but may not be limited to:
Key Responsibilities:
Grants, Awards and Bursaries
- Manager and administer grants, awards and bursary programs from program call for submissions through to awarding of funds
- Manage and coordinate with Volunteer Association, Family Grant program annually
- Support the semi-annual Juravinski Cancer Centre Grants and Distribution program from the call for applications, meetings, correspondence, to tracking of grant awards
- Create communication materials, applications and Terms of Reference for new awards and funds as needed
- Attend related committee meetings on behalf of the Foundation
- Maintain all program tracking for awards, payments, extensions granted and notifying recipients and ensuring a record of final submissions
- As required, gather feedback / award funding impacts from recipients
Donor Recognition
- Research and catalogue all historical and current donor recognition signage using appropriate database software
- Research and bring fresh and innovative program enhancements to the Foundation for recognition and stewardship
- Coordinate with development teams and suppliers in the production and installation of recognition signage – donor walls, programmatic walls and plaques
- Manage the process of updating permanent Donor Recognition Walls and Annual report donor listings, including future enhanced recognition opportunities
- Review, research and manage additional / new donor recognition opportunities as appropriate – commemorative giving, tribute giving, giving clubs
Stewardship
- Prepare stewardship reports for funds, programs and awards as required
- Recording of commitment fulfillment in Raiser’s Edge for all donor designated purchases
- Maintain a registry of all HHS Foundation Gift agreements
- Other projects or tasks as appropriate.

Candidate Qualifications
Education/Experience:
- University degree in Business Administration
- Minimum 3-5 years experience in a similar position or fundraising environment
- Experience in Not-For-Profit sector
- Skilled project management experience
- Ability to multi-task and prioritize
- Experience with Raiser’s Edge (Blackbaud Software) an asset
- Proficient with Microsoft suite of products
Knowledge, Skill, Abilities:
- Demonstrated superior organization and flexibility within a team environment
- High degree of initiative and ability to manage multiple tasks and priortize tasks in a positive and effective manner, meeting critical deadlines
- Accuracy and attention to detail is imperative
- Ability to analyze results and make appropriate adjustments and recommendations
- Demonstrated excellent communication skills (verbal and written), interpersonal, and problem solving skills
- Demonstrated commitment to the highest standards of ethical practice
- Understand the need for professionalism, discretion and patience when communicating with donors, volunteers and staff
- Act as an ambassador throughout the community, positively representing the Foundation
Office Location:
- Currently, as a result of the COVID-19 pandemic, HHSF staff are working both remote and in the office. When it is safe to do so, our goal is to work out of the HHSF offices, located in downtown Hamilton.
