We are seeking a collaborative, creative and strategic Associate Director, Events and Community Programs to lead the development and implementation of a robust portfolio of community events and programs for an 18-month contract. This is an exciting time for the Associate Director to lead engagement that builds flourishing communities as part of UCC’s strategic directions towards the College’s 200th anniversary in 2029 and beyond.
Reporting to the Executive Director, Advancement Operations and responsible for the oversight of one direct report, the Associate Director will work collaboratively as a member of the Community Relations team, supporting all aspects of the Advancement office, with particular focus on initiatives created for alumni, parents, past parents, grandparents, and friends.

The Associate Director will thoughtfully deliver UCC’s Signature events, Development events, Alumni events and Community events, as well as other events and activities related to UCC’s Advancement initiatives. Expertly applying market research to identify the needs and interests of constituents, the Associate Director will deliver strategic and relevant programming to further UCC’s goals of engagement. A strong tactician, the Associate Director will oversee the entire event lifecycle including the development of innovative ideas, critical paths and budgets, assignment of responsibilities, management of logistics and execution, and event evaluation.
UCC offers flexible work arrangements based on the needs of the position. There will be some evening and weekend work with this role. This position will work in office on our beautiful campus a minimum of two days per week.

Advancement @ UCC
The Advancement Team at Upper Canada College is collectively responsible for advancing the mission of the College through meaningful philanthropic relationships, community relations and communications.
Every dollar contributed supports the educational mission of UCC, whether by contributing to our sector-leading financial assistance program that enhances the accessibility, diversity and impact of the UCC experience for all students and supporting the ongoing development and excellence of our facilities, programs, and faculty, through to the provision of equipment and resources for teaching and learning, athletics, arts and culture.
The Advancement team is currently comprised of 22 staff organized in four units: Marketing & Communications, Community Relations, Advancement Operations, and Development. We work closely with faculty and staff across the School, and we also work very closely with alumni and parent volunteers.
Key Areas of Responsibility for the Associate Director, Events and Community Programs:
Events and Program Strategy and Execution
- The incumbent will develop and deliver the strategy and operational planning for events and community programs, including:
- Signature events such as: Association Day, Founders Dinner, Norval Days, Alumni Weekend, Reunions.
- College events, such as Leaving Class Ceremony, Remembrance Day ceremony, etc.
- Community events and initiatives, including events for parents, grandparents, etc.
- Events and activities related to UCC fundraising initiatives.
- Community content, including for events above, as well as relevant communications initiatives (Event invitations, alumni newsletter and publication related content, social posts, etc.).
- Oversee the entire event lifecycle including the development of innovative ideas, critical paths and budgets, assignment of responsibilities, management of logistics and execution, and event evaluation.
- Strategically assess current and emerging trends in event planning, finding opportunities to elevate and enhance community engagement. Use market research to identify needs and interests of constituents to provide thoughtful, relevant and strategic programming.
- Research suppliers, negotiate quotes, communicate and oversee deliverables and assess work. Ensure competitive prices based on multiple events and regularly test out new suppliers where appropriate.
- Collaborate with internal and/or external communications teams to develop content for event marketing materials and promotions.
- Use technology for event delivery to ensure accessibility by various demographics.
- Accountable for the overall events budget, preparing budgets for all events, monitoring expenses, creating final budget reports and conducting financial analysis.
- Manage the confidentiality of the Advancement database, ensuring that mechanisms that are developed to allow contact between alumni are properly authorized.
- Serve as an ambassador for Advancement within the community. Establish trust and understanding, use diplomacy and tact to navigate complex issues and ensure mission alignment and cohesion.
- Key relationship manager for the Signature Event committees and/or volunteers
- Liaise and provide event leadership support to the Association and Advancement team members.
- Develop and maintain relationships with key volunteers, staff and internal suppliers (Aramark, security, facilities, etc.).
- Provide support to volunteers and volunteer committees as well as other staff and suppliers to plan and execute events.
Evaluation of Events and Programs
- Continually evaluate and provide insight on the direction and development of events.
- Regularly seek feedback from event participants through focus groups, post-event surveys and other interactions to identify areas of interest and opportunities to enhance events.
- Lead and manage the Coordinator, Events and Community Programs, including recruitment, training/development, performance evaluation, and employee engagement.
- Set clear expectations, promote high levels of accountability, and support staff in optimal achievement.
Qualifications & Competencies:
- Progressive events and community program management experience, including annual planning, budget management and implementation.
- Proven ability to evaluate a portfolio of events and strategically identify areas of opportunity and growth.
- Demonstrated ability to identify and assess requirements for planned events and ensure the successful management of all logistics.
- Exceptional organization, planning and time management skills combined with a strong attention to detail.
- Knowledge of trends and emerging practices with fundraising and community events.
- Excellent oral and written communication skills, with an ability to inspire audiences through conversations and presentations (including virtual and in-person) and in writing.
- Demonstrated ability to develop, leverage and communicate stories in a meaningful way to further increase community engagement.
- Ability to make decisions in ambiguous situations, exercise good judgment based on information and analysis in a fast pace, dynamic and deadline driven environment in an organized and professional manner.
- Ability to work collaboratively with executive and Advancement staff to optimize community outreach and engagement activities.
- Excellent interpersonal skills with the ability to develop and cultivate effective professional networks and relationships with community individuals, groups and businesses.

- University degree or college diploma in event management or in a related field, or an equivalent combination of skills and experience.
