The Opportunity

The University of Toronto Scarborough (UTSC) is seeking an experienced, collaborative leader to join our diverse cultural community in the role of Executive Director, Development and Alumni Relations. This is an exciting opportunity to work in a dynamic multicultural environment to bridge and leverage effective partnerships both within and outside of the University.

As UTSC’s advancement leader, the Executive Director will direct all fundraising, alumni, and community relations activities for the campus, and report jointly to the Principal and the Assistant Vice-President, Divisional Relations. The Executive Director will function in an advisory capacity to the Principal, sharing expertise on major gift fundraising and feedback on areas of priority and growth for the campus through interactions with faculty, staff, students, and alumni.

The Executive Director will have overall responsibility for developing and executing a strategic fundraising plan that includes the individual, corporate and foundation sectors, as well as managing their own portfolio of high net worth donors. In addition, as a member of the Executive Leadership team at UTSC, they will work seamlessly with Division of University Advancement (DUA), demonstrating a shared commitment to the culture, values and best practices that drive high-level performance. The successful applicant will also lead a growing development and alumni relations team and develop a network of senior volunteers to increase fundraising results for the Scarborough Campus.

More specifically, the Executive Director will provide professional leadership and long-range strategies for all aspects of campus advancement including fund development, community relations and outreach, communications, special events, alumni, and direct marketing programs. The Executive Director will also devise and implement a major campaign to fund capital items and endowments consistent with the academic priorities, mission, and objectives of the Campus and University.

The Ideal Candidate

A committed and open-minded leader, the Executive Director, Development and Alumni Relations, will focus efforts on developing a significant major gifts fundraising program. With a proven track record in soliciting and closing six-figure major gifts, ideally while thriving in a complex organization, this seasoned fundraising professional will be high-performing, goal-oriented, and motivated by challenging fundraising opportunities and targets.

Confident and tenacious, the successful candidate will tactfully and respectfully bridge relationships across campus and on the larger University scale with ease and flexibility. Fostering strong and positive interdepartmental relations, the ideal candidate will be an exceptional listener who values academic partnerships and abilities. The Executive Director will demonstrate integrity and poise in all interactions, from senior-level volunteers and academic leaders, to donors, alumni, staff, and students.

The incumbent will be innovative and resourceful, with a seamless ability to read audiences and situations and adapt their communication style and language to be effective. An engaging and strong public presenter, the Executive Director will be an effective communicator and a creative “on-the-spot” thinker in the face of conflict or challenges. Naturally outgoing, this individual will find common ground with a wide range of stakeholders.

The Executive Director will have an intellectual curiosity, a willingness to learn, and an appreciation and understanding of the campus’ academic mission. With an openness and awareness of different cultures stemming from their global perspective and understanding, the incoming leader will be excited by the prospect of engaging the diverse community at UTSC. Comfortable with and energized by other cultures, languages and perspectives, the Executive Director will harness and leverage positive relationships across UTSC and the community.

The Executive Director will have a genuine and approachable style, with a strong understanding of team dynamics. Giving clear directions and setting clear expectations, the ideal candidate will support their team’s growth and success, offering mentorship opportunities and helping them to achieve goals. With a strategic approach to maintaining accountability in a complex system, the successful candidate will also find a balance between planning priorities and seizing opportunities.

Major Activities

Strategic Development
•Provides leadership, direction and priority setting to all elements of the Campus’ advancement activities, including fundraising and enhancing campus relationships with its external constituencies for fundraising purposes.
•Develops a strategic plan for the development of significant external support for the Campus, the initial and critical element being the formulation of the methodology needed to participate in the University‑wide Campaign. The Campaign is the major element of a longer-term plan to significantly increase external support;
•Develop an implementation plan and policies in support of the strategic plan.
•Institutes procedures that ensure the Campus priorities inform the fund-raising process.
•In consultation with the Alumni/Development Officer, contributes to the development of strategic plans that take into account the need to promote the retention and significant improvement of the level of annual giving from students, alumni, faculty, staff and friends of the Campus.
•Oversees and provides professional leadership and long‑range strategies for all aspects of campus advancement, including community relations and outreach, marketing and promotions, prospect research, communications programs, special events, alumni and direct marketing programs including annual campaigns.
•Provides support to managers responsible for particular areas, including communications and media programs, annual campaigns, alumni relations, and special events.

Development and Advancement
•Devise and implement comprehensive campaign programs through all stages of the fundraising cycle and across all revenue generations streams.
•Prepare written and oral plans and reports to the Principal and the AVP, University Development, and the campaign board. Identify, recruit, train and work closely with, the members of the campaign board and a substantial volunteer pool.
•Responsible for Scarborough’s overall donation management process, ensuring that all aspects of the process are carried out from the point where a donation commitment is made until it is receipted.
•Researches and plans the cultivation of relationships with potentially generous donors, which can be translated into financial and volunteer support.
•Develops a network of senior volunteers and spokespeople, identifying, training, motivating, advising and organizing them in their fundraising activities on behalf of UTSC.
•Initiates, leads, direct and manage programs designed to obtain maximum financial support from a wide range of potential donors. Directs research on identified individuals as having significant donor potential.
•Directs the establishment of a comprehensive planned giving program to encourage bequests, insurance, gifts‑in‑kind, annuities, and other vehicles of deferred giving for UTSC.
•Ensures that donor recognition and acknowledgment programs and publications are in place to maintain excellent donor relations with UTSC’s benefactors.
•Monitors, analyses and reports on Campaign and other development activity progress.
•Promotes the needs of UTSC and of the University of Toronto at fundraising events through public speaking engagements and individual contact with donors.
•Works collaboratively with UTSC’s development and alumni relations staff that have responsibility for alumni fundraising initiatives.

Executive Leadership
•Contributes as a member of the Executive Committee of UTSC in the development and implementation of UTSC's vision; accountable for developing and implementing strategic alignment with this vision within the portfolio across UTSC and other campuses. Supports the goals and objectives of UTSC's strategy and develop, through stakeholder involvement and relationship development, plans, processes and supports in order to achieve these goals.
•Provides input and advice in respect to projects, initiatives and priorities of the campus. Advances community building and outreach activity as an executive committee representative of the campus by attending events, speaking engagements, and advancing the Principal's community building objectives.
•Collaboratively develops campus priorities and plans in conjunction with other executive committee members and advisory to the Principal. Builds tri-campus relations and attend meetings and events to represent UTSC in respect to tri-campus issues. Participates in local emergency response matters as needed.
•Advises and makes recommendations to the Principal in respect to resource allocation; provides input and advice to the Principal as decisions are undertaken. Identifies portfolio financial needs, present and contribute to discussions and decisions at the annual Planning and Priorities meeting.
•Embeds campus priorities and the Principal's objectives by aligning portfolio priorities. Acts as content expert and provides context and strategic considerations to inform strategic decisions being made by the Principal and others on the Executive Committee which will impact the campus.
•Proactively and collaboratively supports other members of the executive in order to best achieve objectives of the Principal and ensure a well-functioning campus.
•Represents the Principal and UTSC at senior level committees, events, functions, to parents, students, alumni, fundraising partners and other external events.
•Collaboratively develops the campus and campus plans. Ensures portfolio needs are taken into account and effectively coordinated with other portfolios across UTSC.
•Builds and improves tri-campus relations; ensure that the particular needs of UTSC are represented in tri-campus forums; work to ensure that tri-campus resource distribution is fair such that all campuses are strong and effective in achieving their aspirations and goals.
•Provides input to the Principal, Dean, Executive Committee and Chairs as to what external relations activity requires attention vis-à-vis the implementation of communications and marketing devices that accent the activities, strengths and accomplishments of UTSC.

Human Resource Management
•Manages all HR issues as appropriate in accordance with standard University of Toronto policies and procedures.
•Gives direction to staff on an ongoing basis to ensure fair and equitable treatment. Oversees staff performing prospect research and office coordination. Provides support to managers responsible for particular areas, including communications and media programs, annual campaigns, alumni relations and special events.
•Has full managerial authority over the staff in the Development and Alumni Relations Office (DARO).
•Plans strategically for and defines the organizational structure for DARO, including the kinds of equipment used, the methods and techniques of work, the work assignments, duties and responsibilities of positions and the classifications and qualifications of positions as well as other management rights contained in appropriate collective agreements.
•Implements changes to the organizational structure, including organizational change, hiring, layoff, demotions, creating and eliminating positions.
•Defines duties and responsibilities of staff, including defining hours of work, the schedules of work, and the methods and techniques of work.
•Determines work assignments for staff based on understanding of needs, individual skill, project requirements and availability of resources.
•Ensures work tasks are completed on schedule and standards and policies are followed by staff.
•Responsible for budgets relating to HR management, including the hiring and laying off of staff.
•Hires staff based on assessment of candidates and understanding of department’s needs.
•Discusses performance with employees to provide feedback and address performance related issues as part of the employee development process.
•Recommends appropriate salary adjustments for employees based on evaluation of performance and achievement of performance goals.
•Consults with HR when dealing with serious issues that affect employment relationships.
•Strategically manages labour relations implications of business disruptions; participate as representative of department in broader strategic management initiatives related to planning for business disruptions in the University.
•Develops plans and work processes for department projects based on understanding of project requirements and timelines.
•Guides department staff by providing the necessary direction and training to complete department/project work, based on knowledge of department procedures and specialized expertise.
•Recommends professional development opportunities for staff to update and enhance their skills and knowledge.
•Resolves technical problems and staff-related issues that arise during department/project work on a timely basis, to ensure work can be completed with minimal delay.
•Manages any conflict between staff members and handles all employee complaints in consultation with Human Resources and Labour Relations.
•Works collaboratively with union representatives.

Experience & Competencies

Required Experience & Education
•A successful track record in executive responsibility and leadership in all areas of development and alumni relations in a large and complex organization.
•A comprehensive understanding of revenue goals and metrics and the tools available to effectively measure results.
•An innate understanding of, and demonstrated commitment to, diversity, equity and inclusion as it applies to this role and more broadly.
•Demonstrated experience and success managing, motivating, and mentoring volunteers and advancement professionals, bringing out the best in teams and individuals.
•Highly knowledgeable and experienced in both new and traditional channels of revenue generation.
•A university degree or an equivalent combination of education with marketing and advancement experience is preferred. Graduate education or related continued education is considered an asset.

The Development and Alumni Office at UTSC (DARO)

The Development and Alumni Relations Office is made up of a team of 8 staff members dedicated to serving the UTSC vision and mission by leading, planning, and executing fundraising and alumni relations activities in the areas of student aid, capital projects, research, and support to improve the student experience. The Scarborough campus has raised nearly $37 million, surpassing its $35 million Boundless Campaign goal.

On all development and alumni activities, DARO collaborates closely with the various departments, faculty, staff and students of the campus, as well as many alumni volunteers. The development and alumni group at UTSC also ties into and coordinates with the central Division of University Advancement (DUA), drawing on the strategic guidance, operational partnerships, and professional support offered by its DUA colleagues.
