Donor Services Coordinator, 8 Month Contract – Part‐Time

The Organization

St. Joseph’s Healthcare Foundation raises and stewards funds vital to fulfilling St. Joseph’s Healthcare Hamilton’s mission as an exemplary academic health sciences centre devoted to research, education and compassionate patient care, consistent with the Sisters of St. Joseph of Hamilton’s historic legacy of serving body, mind and spirit.

Core Function

Working in collaboration with the Donor Services Department, the Donor Services Coordinator will provide support with filing, opening and sorting mail, donation processing, records maintenance and other administrative duties as assigned.

General Responsibilities

• Provide administrative support to Donor Services team by scanning and filing donor correspondence, printing and folding tax receipts, generating labels and stuffing envelopes.
• Perform accurate data capture in The Raiser’s Edge, generate official tax receipts and donor letters ensuring database procedures and processing timelines are adhered to per Foundation policy.
• Update Raiser’s Edge with information about event attendees, address changes, donor attributes, recognition and mailing preferences etc.
• Coordinate and distribute Foundation brochures and Jeans stickers to Hospital campuses and collect coin box donations.
• Liaise with Funeral Homes to replenish brochure stock and provide memorial materials.
• Monitor inventory levels of letterhead and envelopes used by the Donor Services team.
• Communicate with donors to renew monthly pledges and coordinate payment methods.
• Provide back‐up support to the reception desk at the Foundation which may include answering phones, taking donations either from in‐person visitors or through phone calls to the Foundation.
• Perform other duties as assigned.

Skills Required

• Proven administrative and customer service experience.
• Computer literate and proficient at Microsoft Word and Excel.
• Ability to handle sensitive and confidential information with discretion.
• Keen attention to detail and strong proof‐reading skills.
• Knowledge of Raiser’s Edge or similar donor database is an asset.
• Knowledge of CRA guidelines and official tax receipting processes an asset


Salary will be commensurate with skills and experience.
